Privacy Policy

This policy explains what information we collect through smilesobig.com, why we collect it, and what we do with it. We've written it in plain language on purpose.

Please don't send health information here. This website is for career inquiries and practice partnership conversations. It is not a patient portal, and the contact form is not a secure channel for protected health information. If you are a patient with a question about your care, appointments, or records, please contact your practice directly.

1. Who we are

This site is operated by Smile So Big Dental, with four practices in Jacksonville and St. Augustine, Florida. In this policy, "we," "us," and "our" refer to Smile So Big Dental.

2. What this policy covers

This policy applies to smilesobig.com only. It does not cover:

  • Patient records or any information collected in our dental practices, which is handled under HIPAA and our separate Notice of Privacy Practices.
  • Third-party websites we link to, which have their own policies.

3. Information we collect

Information you give us

When you submit the contact form, we collect the information you type into it:

  • Your name
  • Your email address
  • Your phone number, if you choose to provide it
  • The reason you're contacting us
  • Anything you write in the message field

If you email us directly, we receive whatever you include in that email.

Information collected automatically

Our web host records standard server logs when you visit, which may include your IP address, browser type, the pages you viewed, and the date and time. This is ordinary technical record-keeping used to operate and secure the site.

Fonts loaded from Google

This site loads the Poppins typeface from Google Fonts. When your browser requests those font files, your IP address is transmitted to Google, which is governed by Google's own privacy policy. We do not control and do not receive that data.

Cookies and similar technologies

A cookie is a small file a website stores on your device. We use cookies and similar technologies in three ways:

  • Essential. Needed for the site to work and to remember your cookie preferences. These can't be switched off.
  • Analytics. Help us understand which pages people visit and how they found us, so we can improve the site.
  • Advertising. Let us measure whether our recruitment advertising is reaching the right people, and show relevant ads to people who have visited this site.

Analytics and advertising services we use

We use the following third-party services, which set cookies and collect information about your visit:

  • Google Analytics. Provided by Google, this tells us how many people visit, which pages they read, roughly where they are located, and how they arrived. It collects information such as your IP address, device and browser type, and the pages you view. Google processes this data under its own privacy policy.
  • Meta Pixel. Provided by Meta (Facebook and Instagram), this tells us whether someone who saw one of our ads went on to visit the site or submit the contact form, and allows us to show our ads to people who have visited this site. It shares information about your visit with Meta, which processes it under its own privacy policy and may match it to a Meta account.

These services collect information across websites over time. We don't control what they do with it beyond the settings available to us, which is why the opt-out links below matter.

4. How we use your information

We use what you send us to:

  • Reply to your inquiry
  • Evaluate and discuss a potential role with our team, if that's why you reached out
  • Have a confidential conversation about a possible practice partnership, if that's why you reached out
  • Keep records of our correspondence
  • Understand how people find and use this site, so we can improve it
  • Measure whether our recruitment and partnership advertising is reaching the right people
  • Meet legal or regulatory obligations

We do not use your information to send marketing emails unless you ask us to.

5. Selling and sharing

We do not sell your personal information for money, and we never sell, rent, or trade the contents of your inquiries. What you write in the contact form stays between you and us.

We do want to be straightforward about one thing, though. Several state privacy laws define "selling" and "sharing" broadly enough that using advertising cookies — like the Meta Pixel described above — can count as "sharing personal information for cross-context behavioral advertising," even though no money changes hands. If you'd rather that didn't happen, you can turn off advertising cookies at any time using the controls described in Your choices, and we'll honor it.

6. Who we share it with

We share information only in these situations:

  • Service providers. Companies that help us run the site and receive form submissions — currently Netlify, which both hosts the site and receives form submissions: Netlify Forms. They may only use the information to provide that service to us.
  • Analytics and advertising partners. Google and Meta receive information about your visit through the cookies described in Section 3, subject to your cookie choices. They use that information under their own privacy policies, not ours.
  • Our team. The people at Smile So Big Dental who need to see your inquiry in order to respond to it. Practice sale inquiries are treated as confidential and shared only with leadership.
  • Legal requirements. If we are required by law, subpoena, or court order, or if we need to protect our rights, safety, or property.
  • Business transfers. If our business is sold, merged, or reorganized, information may transfer as part of that transaction.

7. How long we keep it

We keep inquiries for as long as needed to respond and to maintain reasonable business records:

  • General inquiries — two years
  • Career and practice partnership inquiries — three years, so we can reach out about a role or a conversation that becomes relevant later

We may keep information longer where a law requires it or where a conversation is still ongoing. Analytics and advertising data is retained by Google and Meta according to their own schedules. You can ask us to delete your information sooner at any time.

8. How we protect it

The site is served over an encrypted connection, and we limit access to inquiries to the people who need it. No method of transmission over the internet is completely secure, though, which is why we ask you not to send sensitive health or financial information through this site.

9. Your choices

Information you've sent us

You can, at any time:

  • Ask what information we hold about you
  • Ask us to correct it
  • Ask us to delete it
  • Ask us to stop contacting you

Email info@smilesobig.com and we'll take care of it. We won't treat you differently for asking. Depending on where you live, you may have additional rights under your state's privacy law, and we'll honor those as they apply.

Cookies and tracking

You have several ways to limit analytics and advertising:

  • Our cookie settings. and change your analytics and advertising choices at any time.
  • Your browser. Every major browser lets you block or delete cookies in its settings. Blocking all cookies may affect how some parts of the site work.
  • Google Analytics. Google offers a browser add-on that opts you out of Google Analytics on every site you visit, at tools.google.com/dlpage/gaoptout.
  • Meta. You can control how Meta uses your activity for advertising in the Ad Preferences section of your Facebook or Instagram account settings.
  • Global Privacy Control. If your browser sends a GPC signal, we treat it as a request to opt out of the sharing described in Section 5.

10. Job applicants

If you contact us about a role, we keep your information to consider you for that position and, unless you tell us otherwise, for future openings that may suit you. We do not ask for Social Security numbers, dates of birth, or license credentials through this website. Those come later in a hiring process, through secure channels.

11. Children

This site is intended for dental professionals and practice owners. It is not directed to children, and we do not knowingly collect information from anyone under 18. If we learn we have, we'll delete it.

12. Changes to this policy

We may update this policy as the site changes. When we do, we'll revise the "last updated" date at the top. If the changes are significant, we'll make that clear on the site.
